Reminder rules create reviewable Follow-up tasks. They do not send emails automatically. Open the Follow-up or contract, review it, then click Send Reminder.

Business Dashboard

Required Training
Contract Managers must complete this course and pass the final checklist before they can access Contracts & Venues. After completion, Justin/admin approval is required.
Read each module, check it off, complete the final quiz, then submit training for approval. You will not be able to access Contracts & Venues until an admin approves your training.
Answer these before submitting training.
The Dashboard is the main page. Start there to see what needs attention: equipment requests, add-on approvals, quotes, signatures, deposits, balances, and upcoming events.
Create or select the venue/customer first, then create a rough booking. Do not send the final contract until equipment and quote steps are complete.
Use Ask Equipment Needs before the contract stage. The customer chooses equipment/add-ons from the inventory list. D & J gets notified when they submit.
Review the customer’s equipment choices, adjust pricing or terms if needed, then click Approve Add-ons & Move to Contract Stage.
After add-ons are approved, calculate the quote and send the quote email. The customer must approve the quote before the final contract can be sent.
Only send the final contract after the quote is approved. The customer signs digitally. After signing, use billing tools to track deposits, balances, reminders, and receipts.
Follow-ups are CRM tasks. Some are created automatically, but staff can also add tasks manually for calls, quotes, signatures, payments, event prep, and post-event follow-ups.
Use the Calendar to see upcoming karaoke nights and recurring dates. Open Event Prep to confirm equipment, timing, setup area, power, payment, and packing checklist.
Contract Managers can manage equipment/add-ons, cancellation policies, special terms, and balance due terms. They must not change admin-only settings, team users, or main business settings.
Use Print / Save PDF on contracts when you need a clean saved copy for records or printing.
Never send a final contract until equipment/add-ons are submitted, reviewed, quoted, and the quote is approved by the customer.

If you are helping D & J's Karaoke with contracts, your main page is Contracts & Venues. Start there first.
For karaoke and DJ services, equipment needs should be figured out before the final contract is sent. Use Ask Equipment Needs, wait for the venue/customer to submit their choices, then D & J gets notified. Review the selected equipment/add-ons, adjust pricing or terms if needed, and approve the add-ons. Only then should the final contract be sent for signature.
A Contract Manager can help with normal business work.
Tip: A contract cannot be saved until it has a venue selected.
Use this when a venue books multiple karaoke nights under one agreement.

When the listed recurring dates are finished, create a renewal.
Important: A renewal should be signed again because it covers new dates.
You can also use Copy Signing Link and send it manually by text, Messenger, or your own email.
For now, track payment details inside the contract fields and notes.
Future upgrade: deposit paid, balance paid, receipt emails, and payment reminders.

Add admins or contract managers for D & J's Karaoke HQ. Contract managers can manage venues, contracts, prices, billing notes, events, and contacts. Admins can manage settings and users.
